Our Admin Assistant supports ABBYY leadership with reporting, project management, communications, and other tasks to ensure a successful flow within our operations. This is a great opportunity for anyone looking to advance their admin career. The role will report to our Executive Admin, and will directly support various department heads based in the USA. Our ideal candidate is strong in the Microsoft Office suite, experienced in managing multiple calendars, and able to maintain a high level of confidentiality. Given the autonomous nature of the role, excellent time management skills are critical.

Key Responsibilities

  • Work on complex assignments requiring considerable judgment, initiative, and technical/specialized knowledge to resolve and/or develop recommended solutions;
  • Execute research and data analysis, and prepare reports/recommendations;
  • Produce complex spreadsheets, graphs, and PowerPoint presentations;
  • Plan, organize, and manage multiple calendars for Executive team members within ABBYY business policies and procedures, and mindfulness of current priorities and initiatives;
  • Coordinate meetings of varying sizes on behalf of the Executive team, including companywide conferences and largescale events;
  • Coordinate travel arrangements and process all expense reports for the Vice Presidents;
  • Works autonomously to manage projects and maintain communication with interested parties;
  • Maintain an advanced degree of confidentiality and accurate record/file keeping;
  • Document meeting minutes and manage action items.

Mandatory Skill Sets and Qualifications

  • AA or equivalent experience required. BA strongly preferred, particularly in communications, English, finance, business, or similar field;
  • 5+ years of experience in an administrative role in a fast-paced, demanding environment;
  • Proficient in Microsoft Word, Outlook, PowerPoint, and Excel;
  • Ability to navigate in Access and able to create or maintain an efficient filing system. Execute research and data analysis and prepare reports/recommendations;
  • Advanced problem solving, organizational and analytical skills;
  • Highly organized, with good time management and multi-tasking skills;
  • Strong organizational, written and verbal communication skills;
  • Strong collaborator ready to work in a team environment.
